Role Summary
The Executive Assistant is responsible for providing administrative and logistical support to members of FMG Leading’s team and contributing positively to the culture and daily functioning of the firm. This includes being responsible for scheduling calendar appointments, expense reports, time sheets, and travel arrangements; and assisting with event planning, meeting coordination, marketing efforts, and special projects as assigned.
The Executive Assistant full-time position is virtually-based and reports to the Chief of Staff. Minimal travel is required to FMG Leading offices for firm meetings/events.
Key Responsibilities
1. Executive Administrative Support
Manage calendars, time sheets, and expense reports for FMG Leading leadership members
Coordinate travel arrangements, transportation, and hotel reservations
Coordinate conference calls, meetings, prepare agendas, capture recap notes, etc.
Produce reports and other client-related materials, as requested
Provide administrative support to additional team members, as needed
2. Office Administrative Duties (shared with other Executive Assistants)
Maintain a clean, uncluttered, organized, and professional-looking office space
Responsible for copying, filing, shipping, and printing materials
Responsible for ordering and maintaining inventory of office supplies
Event planning support for all retreats, meetings, and events including social hours, and regular office team get-togethers
3. Internal and External Project Support
Support internal staff with FMG Leading operational projects and initiatives
Organize and maintain hard copy documentation of various administrative areas and update internal document templates as needed
Skills and Qualifications
BS/BA required
5-7 years of experience in a professional office setting
Proven skills in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
Exemplary customer service (internal and external)
Excellent organizational skills, attention to detail, follow-through, and responsiveness
Present a positive, professional image, and thrive in a fast-changing environment with moving deadlines
Ability to interact with various dimensions of diversity and build good working relationships with clients, teammates, vendors, and potential business partners
Must have excellent written and verbal communication skills
